Adding activity plan actions to steps

Use activity plan entry and exit actions to assign activity plans to users. The users that you can assign plan to can be named, or can be the user managing the business process.

An activity plan entry action  assigns an activity plan when a business process step begins. An activity plan exit action  assigns activity plans when a step is completed.

Before starting this task, ensure that you have deactivated the business process template. You cannot modify active templates.

To add an activity plan entry or exit action to a step:

  1. Navigate to the Customize workspace.
  2. In the Business Processes tab, select the template that you want to add an action to.
  3. In the Steps subtab, select the step that you want to add an action to.
  4. Add the activity plan as an entry or exit action:
    • If you want to assign the activity plan as an entry action to the step, select the Entry Actions tab.
    • If you want to assign the activity plan as an exit action to the step, select the Exit Actions tab.
  5. Click the Add button and select Create Activity Plan.
    The Add Create Activity Plan Action dialog opens.
  6. In the Template  field, click the Select button to select an activity plan template.
    The Select Activity Plan dialog opens.
  7. Select the activity plan template you want to add and click OK.
    The Select Activity Plan dialog closes. The template name displays in the Template and Description fields.
  8. In the Description field, enter a new description of the action.
  9. In the Priority field, select a priority for the activity plan.
  10. In the Due Date field, specify how long the user has to complete the plan after the activity plan is created. For example, you can select 1 day after Create Date.
  11. In the Notes field, enter any additional details about the activity plan.
  12. In the Assign Activity Plan field, select one of the following options to define who the activity plan is assigned to:
    • Current User invoking Action
      Assigns the activity plan to the user who is working with the business process when the activity plan is created.
    • Coverage Role
      Assigns the activity plan to the user who belongs to a specified coverage role. To select a coverage role:
      1. In the first field, if you want to specify a coverage team role, select Client Coverage. If you want to specify a opportunity team role, select Opportunity Coverage.
      2. In the second field, select the user role you want to assign the activity plan to.
    • Specific User
      Assigns the activity plan to a specific user. To select a user:
      1. In the Specific User field, click the Select button .
        The Select User dialog opens.
      2. Select the user you want to assign the activity plan to.
      3. Click OK.
        The Select User dialog closes and the user that you selected appears in the Specific User field.
  13. [Optional]  In the For Contact field, if you want to associate the activity plan with a contact other than the one that the business process is for, select one of the following:
    • Contact from the Target Object
      Associates the activity plan with the same contact as the one associated with the business process template.
    • Contact specified in the For Field of the triggering object
      Select an entity provided by the For field for the business process that you want to associate with the activity plan.
    • Specific Contact
      Defines a specific contact that the activity plan will always be created for. To specify a contact:
      1. In the Specific Contact field, click the Select button .
        The Select Person dialog opens.
      2. Select the contact you want to create the activity plan for.
      3. Click OK.
        The Select Person dialog closes.
    • No Contact
      If you do not specify a contact, then the activity plan will be created for the contact associated with the business process by default.
  14. Click OK.
    The Add Create Activity Plan Action dialog closes.

The activity plan entry or exit action is added to the step.
