Managing Document Manager folders

The folder system in the Document Manager workspace is very similar to Microsoft Windows Explorer.

In the Document Manager workspace, in the Folders tab, click a folder to view its contents in the Documents list. To expand a folder that has sub-folders, click the Expand tree node button beside it. To collapse a folder, click the Collapse tree node button beside it.

Creating Document Manager folders

Creating folders in the Document Manager helps you to organize your documents.

To create a folder:

  1. Navigate to the Document Manager workspace.
  2. In the Folders tab, select the folder you want as the new folder's parent and click the Add Folder button .
    The Add Folder dialog opens.
  3. Enter the folder's name and a description. You can also change its parent folder by clicking the Select button  to the right of the field and selecting the desired folder from the Select Folder dialog.
  4. To change the folder's security levels, click the Security tab and select the desired levels.
  5. Click OK .
    The Add Folder dialog closes.

Your new folder is created.

Deleting Document Manager folders

You can only delete folders that are empty. Therefore, folders containing documents or sub-folders cannot be deleted.

To delete a folder:

  1. Navigate to the Document Manager workspace.
  2. In the Folders tab, right-click the folder you want to delete and select Delete .
    A confirmation dialog opens.
  3. Click Delete .

The folder is deleted.

Moving Document Manager folders

You can move a folder by changing its parent folder.

To move a folder:

  1. Navigate to the Document Manager workspace.
  2. In the Folders tab, right-click the folder you want to move and select Edit .
    The Edit dialog opens.
  3. In the Parent Folder field, click the Select button .
    The Select Folder dialog opens.
  4. Select the desired parent folder and click OK .
    The Select Folder dialog closes.
  5. Click OK .
    The Edit dialog closes.

The folder is moved.

Folder details and security

The view and edit security of a folder will apply to all of the folder's contents. If you cannot view a folder, you will not be able to view its contents either. Similarly, if you do not have permission to edit a folder, you will not be able to change the contents of the folder.

To modify a folder's details and security:

  1. Navigate to the Document Manager workspace.
  2. In the Folders tab, right-click the folder you want to modify and select Edit .
    The Edit dialog opens.
  3. In the Detail tab, edit the name, description, and location of the folder.
  4. In the Security tab, edit the view and edit securities of the folder.
  5. Click OK .
    The Edit dialog closes.

The folder's modified details and security settings are saved.
