Engage

This topic describes the default settings and values for this feature. Your administrator can configure certain settings to reflect your business needs.

The following defaults may not apply to all editions of this feature:

  • the availability of a nudge type
  • the name under which a nudge type may be displayed
  • the frequency with which KYC review and portfolio review nudges are displayed for clients with different tiers
  • the number of days a nudge begins being displayed before its due date
  • the number of days a nudge continues being displayed after its due date
  • the calculations used to determine the priority of a nudge, including whether the priority should change over time

Engage is a product in the NexJ Nudge-AI suite. It is an intelligent digital assistant that recommends the next best actions based on priority scores, which are calculated using client details and information about wealth management practices.

It helps you build stronger customer relationships by fostering better client engagement and loyalty. It also helps you ensure compliance, by issuing reminders related to regulatory frameworks and company guidelines.

Engage generates a prioritized list of nudges to let you know the most important touch points for your clients on any given day.

Each active or snoozed nudge is displayed as a tile, which shows the number of days until the due date, the nudge type, and the name and avatar of the client to whom the nudge applies. You can act on a nudge by sending an email, creating a task or a meeting, snoozing the nudge, or acknowledging the nudge. You can also view the nudge history to see what actions other team members may have taken related to the nudge.

You can see the active highest-priority nudges for your clients on the Nudges card on the Home workspace .

You can see all nudges for a client on their profile, on the Nudges card in the Summary tab on the Contacts workspace .

You can see all of your nudges, including the new (active), snoozed, or past (completed and expired) nudges, on the Nudges workspace .

Insights is another product in the NexJ Nudge-AI Suite, which is used to enhance the client experience and increase advisor productivity by automatically discovering life events from notes. If it is enabled, nudges are also generated based on notes added by advisors to the client's profile, in addition to nudges generated from client biographical information and activity history.


Nudge types

You may see the following types of nudges on the Nudges cards on the Home and Contacts workspaces and on the Nudges workspace.

Birthday

Birthdays are a great way to demonstrate to clients that they're top-of-mind for you, and also a great opportunity to show appreciation on a day that matters to them.

You will see this nudge for 7 days before a client's birthday. For the next week, you can create a task to do something special for your client, send them an email to congratulate them, or create a meeting to congratulate them in person. After the due date passes, the nudge no longer appears your feed.

To see birthday nudges, make sure you accurately specify the date of birth in the client's profile.

Wedding anniversary

Recognizing their important date is a great way to keep your clients engaged, especially when you work with households.

You will see this nudge for a married client 7 days before their wedding anniversary. If a contact and their spouse are both your clients, then you will see 2 separate nudges for the anniversary.

For the next week, you can create a task to do something special for your client, send an email to congratulate them, or create a meeting to congratulate them in person.

After the due date passes, the nudge no longer appears in your feed.

To see wedding anniversary nudges, make sure you correctly set the marital status of the client to "married" and accurately specify the anniversary date.

Client anniversary

It's always special to have a long-term relationship with your client and you can now celebrate with them the day they became your client. Let them know you appreciate their business and that you hope to have their continued business.

The client anniversary reflects the date the contact became a client, whether they were added as a client or were converted to client from another status.

You will see this nudge for a client 7 days before their client anniversary. For the next week, you can create a task to do something special for your client, send an email to congratulate them, or create a meeting to congratulate them in person.

After the due date passes, the nudge no longer appears in your feed.

Portfolio review

Portfolio reviews are a great way to engage your clients in a conversation to demonstrate your expertise, and to show that you have been looking after their book consistently to keep everything aligned to their goals. With Engage, you never have to worry about remembering to do one.

You will see this nudge 14 days before the client's portfolio review deadline.

Portfolio review nudges are generated based on the end date of the last completed meeting of the "Portfolio Review" category. To ensure that you are always aligned with compliance requirements and never miss a review, you should always create a Portfolio Review meeting and change the meeting status to "Complete" on the correct date.

If you have not acted on the nudge before the due date, it continues to be displayed in your feed for 3 days. You can still act on this nudge during this time.

The frequency of portfolio review nudges depends on the client's tier. Portfolio review nudges for tier A clients are generated quarterly, and portfolio review nudges for tier B and tier C are generated semiannually.

KYC review

Never miss another KYC review with Engage, which will remind you to do one for your clients once a year.

You will see this nudge 14 days before the client's KYC review due date.

KYC review nudges are generated based on the end date of the last completed meeting of the "KYC" category. To ensure that you are always aligned with compliance requirements and never miss a KYC review, you should always create a KYC meeting and change the meeting status to "Complete" on the correct date.

If you have not acted on the nudge before the due date, it continues to be displayed in your feed for 3 days. You can still act on this nudge during this time.

KYC review nudges are generated for each client every 12 months. The schedule is not based on the client's tier.

Product opportunity

Unlike other nudges, product opportunity nudges are not generated based on a contact's biographical data or activity history. They can be imported from an external CRM system or generated by the Insights product based on notes added to the client's profile.

Insights

If Insights is enabled in your deployment, product opportunity nudges are generated based on keywords discovered by Insights in notes on the contact's profile. Nudges are generated based on keywords related to graduations, starting or changing a job, marriages, divorces, moving, buying a house, retirements, and having a baby.

When Insights discovers relevant keywords, it cannot always differentiate to whom they keyword applies. If a note on the contact's profile mentions retirement, a product opportunity nudge is generated, regardless of whether the mention is related to the contact themselves, their spouse or parent, or another person. You should review the related note to confirm whether the context is applicable.

To view the reason for the product opportunity nudge, click the Details button on the nudge tile and select the Details tab.

You can act on nudges generated by Insights the same way as any other nudges, by creating a task or schedule item or sending an email. You can also acknowledge or snooze the nudge.

In order to generate and display product opportunity nudges, ensure that the new Product Opportunity nudge type has been created and its visibility is set to active.


Working with nudges

Nudge tiles may look slightly different based on whether they are displayed on the Home workspace, Contacts workspace, or Nudges workspace. The actions associated with a nudge are the same in all cases.

To act on a nudge, use the Create Meeting , Create Task , and Send Email buttons on the bottom of each tile. Clicking each of these buttons brings up the related dialog.

Snoozing or acknowledging nudges

If you want to act on the nudge later, you can snooze it. To snooze a nudge, click the More Actions button on the bottom of the nudge tile and select when you want to snooze the nudge until. You can snooze a nudge until tomorrow, its due date, or a specified date. As you get closer to the due date your snooze options decrease. Nudges that are due today or are overdue cannot be snoozed. You also cannot snooze a nudge beyond its due date.

If you choose to not work on a particular nudge, you can acknowledge it. To acknowledge a nudge, click the More Actions button on the bottom of the nudge tile and select Acknowledge.  This permanently removes the nudge from the Nudges card on the Home workspace, the New tab on the Nudges card on the Contacts workspace, and the New tab in the Nudges workspace.

After you acknowledge or act on a nudge (for example, by sending an email), it is considered complete, It is no longer displayed on the Nudges card on the Home workspace, the New tab on the Nudges workspace, or the New tab on the Nudges card on the Contacts workspace. It still appears in the Past tab on the Nudges workspace and the Past tab on the Nudges card on the Contacts workspace.

Completing, snoozing, or acknowledging a nudge affects only whether you are able to see it or work with it. It does not affect whether other team members can view or act on the nudge.

Viewing nudge history

Each nudge tile has the View History button on the top right corner. If any actions have been taken by other team members related to the nudge, the number of actions is displayed over the button. Click the View History button to view all actions associated with the nudge.

The history dialog displays the timeline of all tasks, meetings, emails, or acknowledgements associated with the nudge, including the team member who performed the action and the time of the action. You can also use this dialog to perform an action or to navigate to the client's record.

If an email was started from the nudge, the "Email started" action is included in the timeline. The action does not indicate whether the email was actually sent or received.

Home workspace

The Nudges card on the Home workspace displays only the most urgent active nudges for your clients. You can sort these nudges by relevance or due date, and navigate between the nudges by clicking the left and right chevrons.

To view all nudges, including snoozed, completed, and expired nudges, click View More to navigate to the Nudges workspace.

You can navigate to a specific contact's profile by clicking their name in the individual nudge tile.

Contact workspace

The Nudges card on a client's profile displays all their nudges that have not been acted upon or acknowledged by the current user, and indicates how many nudges are due today or within the next 7 days.

The New tab on the Nudges card displays all active nudges by default. You can select the Including snoozed nudges option to display both active and snoozed nudges. Snoozed nudges are indicated by the "snooze" icon .

The Past tab on the Nudges card displays all the expired and completed nudges for the client.

Nudges workspace

Use the Nudges workspace to view all your nudges, including snoozed, acknowledged, and completed nudges. You can also use the Nudges workspace to filter for specific nudges, for example all nudges related to a contact or all nudges due tomorrow.

Three tabs can help you manage your nudges on the Nudges workspace:

  • The New tab contains all nudges which you haven't acknowledged or acted on.
  • The Snoozed tab contains all nudges that are currently snoozed. Once the snooze period is passed, the nudges are displayed in the New tab.
  • The Past tab contains all nudges that you acted on or acknowledged, as well as any nudges that expired without action or acknowledgement. Birthday, wedding anniversary, and client anniversary nudges expire on their due date. Portfolio review and KYC review nudges expire 3 days after their due date.
You can navigate to a specific client's profile by clicking their name or avatar in the individual nudge tile.

How nudges are generated and displayed

Nudges can be generated for contacts, companies, and households. These entities can have "lead", "client", "prospect" or "other" statuses. The exact configuration for your edition of Engage is determined during deployment. 

The order in which nudges are displayed on the Nudges card is based on an intelligent scoring mechanism. The score is calculated by considering the number of days until the due date, the importance and time-sensitivity of the nudge type, and the client's tier. The score calculation can be configured by your administrator. Overdue nudges appear first, followed in order by nudges due that day, with the nudges with the highest scores for the day. 

Nudges are created or updated once a day. Any changes that affect nudge generation, such as security changes or client profile changes, are not reflected until the next day.

If a new user is added, they will not see any nudges until the following day. Instead, they will see an error message indicating that nudges could not be generated. 

Overdue birthday and anniversary nudges are immediately removed from your Nudges card. Overdue KYC review and portfolio review nudges are removed from the Nudges card 3 days after the due date. After these nudges are removed from the Nudges card, they continue to be displayed in the Nudges workspace.

All members of a rep code see all nudges for that rep code's clients. You will start seeing all nudges pending for your clients as soon as you become a rep code member, including overdue nudges. After you act on or acknowledge a nudge, it is no longer considered an active nudge for you. It is no longer displayed in the Nudges card on your Home workspace, and it is displayed on the Past tab on your Nudges workspace. However, this does not affect how the nudge is displayed for other members of the rep code. The nudge is considered active for them until they act on it or acknowledge it.

Special nudge display rules apply when a user, contact, or rep code is deactivated or reactivated. Any changes in nudge status occur during the next daily load of CRM information into Engage.

  • When a user is deactivated, all the nudges generated for them are marked Expired for that user. 
  • When a contact is deactivated, all of their nudges are marked Expired for all users. 
  • When a rep code is deactivated, the nudges for all contacts owned by the rep code are marked Expired.

Expired nudges are displayed in the Past tab on the Nudges workspace and the Past tab on the Nudges card on the Contacts workspace.

If a contact or rep code is reactivated:

  • For default nudge types, any nudges that fit nudge generation criteria according to the rules are regenerated. For example, if a reactivated contact's birthday has not passed, a birthday nudge will be regenerated.
  • For custom nudge types generated based on an import, if a nudge for the contact is included in a new import, it is regenerated.
  • All other expired nudges remain expired.

If a user is reactivated, they have access to all nudges available to them based on which contacts they own or which rep codes they are members of.
