Adding activity plan template steps

You can add tasks, documents, or other activity plans as steps to your activity plan templates.

To add a step to an activity plan template:

  1. Navigate to the  Customize  workspace.
  2. Click the Activity Plans tab.
  3. In the templates list, select the activity plan that you want to add steps to.
  4. In the Steps subtab, click the Edit button .
    The  Edit Activity Plan Steps  dialog opens.
  5. Click the Add button .
  6. In the menu, select the specific task, document, or activity plan you want to add.
    The  Add Activity Plan Step  dialog opens.
  7. Modify the step as desired.
  8. Click OK .
    The  Add Activity Plan Step  dialog closes.
  9. Click OK .
    The  Edit Activity Plan Steps  dialog closes.

The activity plan step is added, and its details appear in the Steps subtab.

Setting activity plan template step creation dates

You can set the date a specific activity plan template step is created relative to other activity plan template steps.

To set the creation date of an activity plan template step:

  • Use the Create Date fields to specify the specific offset time the activity plan step will be created. Activity plan steps can be created relative to either the create date of the previous step or the complete date of the previous step.

Assigning users to activity plan template steps

At the bottom of the Add Activity Plan Step dialog, there is a section that allows you to assign users to the step.

Assign Action item

This section is available when adding a task or an activity plan step. The fields in this section set the user to whom the step will be assigned. When this step is created, it appears in the assigned user's Activities journal.

  • User assigned to Activity Plan
    This assigns the step to the same user to whom the entire activity plan is assigned.

    This is the default value if the specific coverage role, user or work queue is unavailable when creating an instance of a template.

  • Coverage Role
    This assigns the step based on an assignment model that automatically allocates the step to a user. Choosing this option activates the two fields where you can select an assignment model from the left field and a desired coverage role from the right field.   • Specific User
    This assigns the step to a specific user that you designate. Choosing this option activates the selection field where you can click the Select button  in the field to search for that user.

  • Work Queue
    This option is available for task steps only, and assigns the step to an existing work queue. Choosing this option activates the selection field where you can click the Select button  in the field to search for a work queue. For more information, see Configuring work queues.

Associating entities with activity plan template steps

At the bottom of the Add Activity Plan Step dialog, there is a section that allows you to associate contacts with the step.

For Contact

This section is available when adding any type of step. The fields in this section set the contact that you want to be associated with this step. When this step is created, it appears in the associated contact's Activities journal.

  • Contact in Activity Plan
    This associates the step with the same entity with whom the entire activity plan is associated.

    This is the default value if the specific related contact, entity opportunity role, or role is unavailable when creating an instance of a template.

  • Related Contact
    This associates the step with the entity that holds a specified relationship to the contact that is associated with the activity plan. Choosing this option activates the selection field where you can click the Select button  in the field to specify that relationship.

  • Role
    This associates the step with any entity that holds a specified role in relation to the specified hierarchy. Choosing this option activates the drop-down menus where you can select the hierarchy context from the left drop-down and the desired role from the right drop-down.
