Modifying activity plan template details

You can make changes to your activity plan template from the Edit Activity Plan Template dialog.

To modify an activity plan template's details:

  1. Navigate to the Customize workspace.
  2. Click the Activity Plans tab.
  3. In the templates list, select the template you want to modify.
    Properties for the template display in the Detail tab.
  4. Click the Edit button in the Details tab.
    The Edit Activity Plan Template dialog opens.
  5. To modify the activity plan template's Name, Template Description, or Notes, change the text in the corresponding fields.
  6. In the Create Security field, choose who can create activity plans from the template:
    • Public
      Any user can create activity plans.
    • <User name>
      Only the specified user can create activity plans.
  7. To hide the template from filters that display to users in NexJ CRM, select Hide Templates from Filters. Use this option to hide a deactivated template. If you do not select this option, the deactivated template remains available in NexJ CRM, for example, in the filter on the Contacts  workspace in the Journal tab and in the Activities subtab.
  8. To modify the locale, select a value from the Locale field, for example, select en for English, or fr for French.
  9. To modify the activity plan template's icon:
    1. Click the Select  button in the Icon field.
      The Select Icon dialog opens.
    2. Select the icon you want to represent your activity plan template.
    3. Click OK to close the dialog and save your changes.
  10. To make the activity plan template accessible in NexJ CRM, select the Active checkbox.
  11. In the bottom half of the dialog, set the activity plan template's security settings. For more information on how to do this, see Modifying activity plan template security settings.
  12. Click OK to close the dialog and save your changes.

Activity plan template default security settings

Activity plan templates have four security setting controls that dictate how the associated instances are viewed, altered, and created in NexJ CRM.

Default View Security
This field sets the ability of users to view created instances of this template in NexJ CRM to either Public or Group. If Group security is chosen, a dialog opens, allowing you to choose the group you want to grant this ability to.

Default Edit Security
This field sets the ability of users to edit created instances of this template in NexJ CRM to either Public or Group. If Group security is chosen, a dialog opens, allowing you to choose the group you want to grant this ability to.

Enable editing the security settings for instances of this template
This checkbox sets the ability of users to edit the security settings for instances of this template in NexJ CRM. If set to true (the default value) then future created instances will be editable.

Create Security
This field specifies who has the ability to create instances of this template in NexJ CRM. You can keep the ability private to yourself, make it available to members of a specific group, or make it publicly available.

Modifying activity plan template security settings

You can modify the view, edit, and create security settings for your activity plan template from the Edit Activity Plan Template dialog.

To modify the activity plan's security settings:

  1. Navigate to the Customize workspace.
  2. Click the Activity Plans tab.
  3. Select the template you want to edit.
  4. In the Details tab click the Edit button .
    The Edit Activity Plan Template dialog opens.
  5. In the Default View Security field, select one of the following options to specify which users can create instances of the template.
    • Public: Allow all users to create instances of the template.
    • Group: Allow only a group of users to create instances of the template. A new field appears. To select a group that you want to give default access to viewing the activity plan template:
      1. Click the Select button in the Group field.
        The Select User Group dialog opens.
      2. Enter the name of the group in the Name field, and click Find .
        The corresponding user group names and descriptions appear below.
      3. Select the group you want to assign viewing abilities to, and click OK .
  6. In the Default Edit Security field, select one of the following options to specify which users can edit instances of the template.
    • Public: Allow all users to edit instances of the template.
    • Group: Allow only a group of users to edit instances of the template. A new field appears. To select a group that you want to give default access to viewing the activity plan template:
      1. Click the  Select button in the Group field.
        The Select User Group dialog opens.
      2. Enter the name of the group in the Name field, and click Find.
        The corresponding user group names and descriptions appear below.
      3. Select the group you want to assign viewing abilities to, and click OK.
  7. Select the Enable editing the security settings for instances of this template checkbox to allow users to edit instances of the activity plan template's security settings.
  8. Click OK to close the dialog and save your security settings.
