Modifying details for an entity type

You can modify the icons, default status, and display properties for contacts created from the entity type, and the locations that users can add contacts from the entity type in NexJ CRM.

You can specify the following entity type settings:

  • A display name and internal description.
  • The default contact icon and the icons that display depending on a contact's status
  • The default status for new contacts created from the entity type
  • Whether new contacts are editable, depending on a contact's status
  • The locations that users can add contacts from the entity type
  • The order in which the entity types displays in Add menus in NexJ CRM
  • Whether users select a company for a contact for the system or enter a company as a string

To modify an entity type's details:

  1. Navigate to the Entity Codes page.
  2. In the Entity Types tab, in the Detail subtab, click the Edit button The Edit Entity Type dialog opens.
  3. In the Name field, enter a display name for the entity type in NexJ CRM.
  4. In the Description field, enter an internal description of the entity type.
  5. In the corresponding Icon fields, select the icons to display for the contacts created from the entity type in NexJ CRM:
    Default icon
    Icon that displays by default. You must select a default icon for every entity type.
    Client Icon
    Icon that displays for contacts with the Client status.
    Prospect Icon
    Icon that displays for contacts with the Prospect status.
    Ex-Client Icon
    Icon that displays for contacts with the Ex-client status.
    Lead Icon
    Icon that displays for contacts with the Lead status.
    You can delete the icons for any field except the Default Icon field by clicking the Clear button  in the corresponding field.
  6. Select one of the following checkboxes to specify the default status for new contacts created from the entity type:
    Client By Default
    Sets the status of new contacts to Client.
    Prospect By Default
    Sets the status of new contacts to Prospect.
    Ex-Client By Default
    Sets the status of new contacts to Ex-Client.
    Lead By Default
    Sets the status of new contacts to Lead.

    If no checkboxes are selected, the status of new contacts created from the entity type is Other.

  7. Select one of the following checkboxes to enable or restrict editing of contacts depending on a contact's status:
    Allow Client Edits
    Enables editing of fields for contacts with a status of Client.
    Allow Prospect Edits
    Enables editing of fields for contacts with a status of Prospect.
    Allow Ex-Client Edits
    Enables editing of fields for contacts with a status of Ex-Client.
  8. Select one of the following checkboxes to specify the Add buttons in which users can add new contacts from the entity type in NexJ CRM:
    Allow in Menu
    Makes the entity type available from the Add button below the quick-find list on the Contacts workspace.
    Allow One Touch
    Makes the entity type available from the Add button in the navigation toolbar.
  9. In the Enter Companies As field, specify whether users can specify the company that an entity type belongs to as an entity or a string. Users can specify companies in the Company field in the Add Contact dialog. Select one of the following values:
    Entities
    Users select an existing company from the system in NexJ CRM. The company has a profile and hierarchy and is searchable in NexJ CRM.
    Strings
    Users add a company by typing a text string. The company is added as a property of the contact.

    The Enter Companies As field is available only for the entity types created from the contact class.

  10. In the Reference Name field, enter a reference name for the entity type.
  11. To set the order that the entity type displays in Add menus in NexJ CRM, enter a numeric value in the Display Order field to rank the entity type relative to other entity types. You can enter a value between 0 and 99. Entity types are sorted in ascending order. For example, to display an entity type at the top of the list, enter 1.
  12. Click OKThe Edit Entity Type dialog closes.
  13. Click the Save button .

The specified detail changes are saved to the selected entity type.
