Modifying activity plans

You can modify an activity plan after it has been assigned to a contact. An assigned activity plan can have steps added, edited, or deleted. You can also change its details, including name, notes, and status.

Modifying activity plan details

Activity plan details can be modified after they are created to accommodate the changing needs of individual contacts.

Note

If you modify the start date of an activity plan that has already begun, existing steps in the plan will not be updated. If you want to modify the dates in existing steps, you must update the steps individually. Edit the Start date of each step that needs to be updated from the Steps tab in the Edit Activity Plan dialog.

To modify an activity plan's details:

  1. Navigate to the Contacts workspace.
  2. Select the contact whose activity plan you want to modify.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click the Action button  for the activity plan you want to modify and select Edit.
    The Edit dialog opens.
  4. In the Detail tab, modify the description, associated contacts, dates, reminders, priority, status and notes as desired. If you are adding a large note and you want to view the entire note and edit it, click View/Edit Full Notes.
  5. Click OK.
    The Edit dialog closes.

The activity plan details are changed.

Adding activity plan steps when creating activity plans

Activity plan steps can be added when creating activity plans. When adding activity plan steps while creating an activity plan, the new activity plan steps are created immediately. You are unable to associate the creation of new steps with the creation or completion of other activity plan steps.

To add an activity plan step while creating an activity plan:

  1. Navigate to the Contacts workspace.
  2. Select the contact you want to add an activity plan for.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click Add > Activity Plan > <template name> where <template name> is the name of the activity plan template you want to use.
    The Add Activity Plan dialog opens.
  4. In the Steps tab, in the Assigned Steps zone, click the Add buttonand select the specific task, document, or activity plan you want to add.
    The Add dialog opens.
  5. Modify the step as desired. You can assign entities to the step in the Related tab, add, edit, and remove attachments in the Attachments tab, make the step a recurring series by clicking the Recurrence link, and change the security settings in the Security tab.

    The Security tab is not available when the Hierarchical Access Model is enabled.

  6. Click OK.
    The Add dialog closes and the step is added to the activity plan.
  7. Click OK.
    The Add Activity Plan dialog closes.

The activity plan is added along with the newly added activity plan steps.

Adding activity plan steps to existing activity plans

Activity plan steps can be added to an existing activity plan. When adding activity plan steps to an existing activity plan, the new activity plan steps are created immediately. You are unable to associate the creation of new steps with the creation or completion of other activity plan steps.

To add an activity plan step to a created plan:

  1. Navigate to the Contacts workspace.
  2. Select the contact whose activity plan you want to modify.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click the Action button for the activity plan you want to add a step to and select Edit.
    The Edit dialog opens.
  4. In the Steps tab, in the Assigned Steps zone, click the Add buttonand select the specific task, document, or activity plan you want to add. and select the specific task, document, or activity plan you want to add.
    The Add dialog opens.
  5. Modify the new step as desired. You can associate items to the step in the Related tab, add, edit, and remove attachments in the Attachments tab, make the step a recurring series by clicking the Recurrence link, and change the security settings in the Security tab.

  6. Click OK.
    The Add dialog closes and the step is added to the activity plan.
  7. Click OK.
    The Add Activity Plan dialog closes.

The activity plan step is added to the activity plan.

Deleting activity plan steps

Delete activity plan steps to remove a task assigned to a contact.

While creating an activity plan, you cannot delete any steps inherited from the template. These steps populate the Future Steps zone. You can only delete steps once they are created. These steps populate the Assigned Steps zone. Any steps that are added apart from the template also populate the Assigned Steps zone and can be deleted.

To delete an activity plan step:

  1. Navigate to the Contacts workspace.
  2. Select the contact whose activity plan you want to modify.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click the Action button  for the activity plan whose step you want to delete and select Edit.
    The Edit dialog opens.
  4. In the Steps tab, in the Assigned Steps zone, click the Action button  for the step you want to delete and select Delete.
  5. In the confirmation dialog that opens, select Delete.
  6. Click OK.
    The Edit dialog opens.

The activity plan step is deleted. Any future steps with creation dates set to the creation or completion of the step you just deleted will not be created.

Modifying plan steps

Activity plan steps that are inherited from an activity plan template can be modified after the specific step is created.

To modify an activity plan step:

  1. Navigate to the Contacts workspace.
  2. Select the contact whose activity plan you want to modify.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click the Action button  for the activity plan containing the step you want to modify and select Edit.
    The Edit dialog opens.
  4. In the Steps tab, click the Action button  for the step you want to modify and select Edit.
    The Edit dialog opens.
  5. Modify the step as desired.
  6. Click OK.
    The Edit dialog closes and the changes are saved.
  7. Click OK.
    The Edit dialog closes.

The activity plan step is modified.

Associating related information to activity plans

You can associate related information with activity plans. Associated items appear in the Related tab. You can associate the activity plan with a campaign, event, opportunity, product, service request, or an account.

To associate an activity plan with related information such as a campaign, opportunity, or service request:

  1. Navigate to the Contacts workspace.
  2. Select the contact whose activity plan you want to modify.
    The selected contact's profile opens.
  3. In the Journal tab, in the Activities subtab, click the Action button  for the activity plan you want to modify and select Edit.
    The Edit dialog opens.
  4. Click the Related tab.
  5. To associate accounts and products with the activity plan, click Add and make your selections. To make your selections for the other fields, click Select.

    You can add multiple accounts to the activity plan.

  6. Click OK.
    The Select dialog closes and the related information is added to the activity plan.
  7. Click OK.
    The Edit dialog closes.

The related information is now associated with the activity plan.
