Managing events

Event management enables event coordinators to manage a variety of events, from simple, one-day events to complex, global events such as deals or reverse roadshows that may extend over multiple days, locations, and time zones.

Use the Events workspace to manage all stages of an event, including planning, booking, execution, monitoring, and reporting.
Event coordinators typically create and run an event in NexJ CRM in the following order:

  1. An event coordinator creates the event and specifies details such as the event duration and team members.
  2. The event coordinator creates legs for the event to divide it into parts based on location or focus. For example, if an event is held in New York and London, the event coordinator creates a leg for each city. The event coordinator specifies details for each leg, such as its duration and whether meetings require approval.
  3. The event coordinator can create a target list that other users, such as sales representatives, use to determine who they should book into meetings. The event coordinator can also add participants to the event and legs to specify contacts and users who are involved in the event. For example, the event coordinator can add members of the event team as participants for the event. The system then adds the participants to all meetings in the event.
  4. The event coordinator creates meeting slots, which are meetings for each leg of the event. The event coordinator can create meetings one at a time, create multiple meetings for a day, or use a template to create multiple meetings for multiple days.
  5. The event coordinator publishes the event by setting the event security to Public. Events are private by default. Other users, such as sales representatives, can then view the event and book contacts into meetings.
  6. Request approvers and event coordinators manage meeting requests (for example, view and accept or reject meeting requests) booked by users.
  7. The event coordinator closes the event by setting the event's status to Completed.
