Managing participants
A participant is any contact who is involved in a campaign. Add participants to an event or event leg to indicate that these participants will attend all or most of the meetings in the event or leg. For example, an event coordinator who manages a company roadshow and would like the company CEO to attend roadshow meetings adds the CEO as a Management Attendee in the Participants tab.
Event coordinators add and remove participants for events and legs in the Participants tab. The Participants tab lists and categorizes participants by type and includes the name, position, company, phone number, email address, and notes for each participant.
When you add a participant, you specify a type that defines how they are involved in the event. For example, you can define a contact as an Institutional Attendee.
Contacts added to the Participants tab are also added to legs and meetings in the event. Event coordinators can override a participant's attendance for any leg or meeting. Adding a participant to a leg adds the contact as an attendee to all meetings in the leg and as a participant to the event. Contacts who are invited by users, such as sales representatives, to attend meetings or booked directly into meetings are listed in the Participants tab as Attendee participants.
Adding participants to events and event legs
Add participants to an event or event leg to indicate who is attending an event and to include contacts and users in event meetings.
To add participants to an event or leg:
The selected contacts are added as participants to the event or leg and added to all meetings for the event or leg.
Adding notes to participants in events and event legs
You can add notes to participants in events and event legs.
To add a note to a participant in an event or leg:
The note is added to the participant. An icon displays in the Notes column for participants that have an associated note.
Removing participants from events and event legs
You can remove a participant from an event or leg. This also removes the participant from all event meetings that they are scheduled to attend.

Participants booked directly into meetings have the Attendees participant type and cannot be deleted. To delete Attendee participants from the event, you must delete them from the meeting.
