Managing target lists

Events include a target list that indicates and tracks the contacts that users, such as sales representatives, should book for event meetings.

Event coordinators add and remove target contacts in the Target List tab. The Target List tab lists target contacts and includes the name, company, email, phone number, status, and notes for each contact. The contact's status indicates whether the contact has been invited to, accepted, or attended any meetings. Contacts on a target list can have the following statuses:

Not Contacted
A meeting request has not been submitted on behalf of the contact or the contact has not been booked into a meeting.

Pending
A meeting request has been submitted on behalf of the contact.

Confirmed

The contact has been confirmed to one of the meetings in the event.

Declined
The meeting request submitted on behalf of the contact has been rejected.

No Show
The contact did not attend the meeting.

Users can book meetings with and add notes to target contacts from the Target List tab.

Events in which a target list is specified display the Has Target List badge  in the event banner.

Adding contacts to target lists

Add contacts to the target list for an event to indicate and track people that users, such as sales representatives, should book for event meetings.

To add contacts to a target list:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event in which to add contacts to the target list.
    The event's information displays in the tabs in the details area.
  3. In the details area, select the Target List tab.
    The target list for the event displays.
  4. Click the Add button .
    The Select dialog opens.
  5. In the list on the left, select contacts to add to the target list, then click Add.
    The contacts are moved to the list on the right.
  6. Click OK.
    The Select dialog closes.

The contacts are added to the target list and the event displays the target list badge  in the event banner. The contact's status indicates whether the contact has been invited to, accepted, or attended any meetings.

After you add a contact to a target list, you can add notes and send meeting requests to the contact from the target list.

Inviting contacts to event meetings from target lists

Users, such as sales representatives, can invite contacts to attend event meetings from the target list for an event.

Approvals are required to add attendees to meetings in event legs where allocation booking is enabled. A request approver approves or rejects the request. An event coordinator can also approve or reject meeting requests.


To invite a contact on a target list to attend a meeting:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event in which to request a meeting with a contact.
    The event's information displays in the tabs in the details area.
  3. In the details area, select the Target List tab.
    The target list for the event displays.
  4. In the target list, click the Action button  for the contact you want to send a meeting request to, then select Request/Book a Meeting.
    The Request/Book a Meeting dialog opens. The dialog displays a list of meetings for the event.
  5. To filter the meetings in the list, select an event leg in the Any Leg field.
    The list of meetings updates to display only meetings for the selected leg.
  6. To view details for a meeting, hover your cursor over a meeting name in the list.
    Additional information displays in a tooltip.
  7. To invite the contact to attend a meeting click Book or Request beside the meeting in the list.
    The Book option displays for meetings in which the booking option is set to Free Booking. The Request option displays for meetings in which the booking option is set to Allocation.
    If you clicked Book, the contact is added to the meeting as an attendee and the Edit dialog opens for the meeting. You can review the meeting attendees in the Attendees tab. If you clicked Request, the Meeting Request dialog opens. You can review the details for the contact before sending the meeting request.
  8. Click OK.
    The Edit or Request/Book a Meeting dialog closes.

The contacts that you added to the meeting request display in the Requests tab for the event and leg. Invitations to attend the meeting are sent to the requested contacts. If allocation is enabled for the event or leg, the meeting request must be approved before invitations are sent. A request approver must accept requests before attendees are added to the meeting.

Adding notes to contacts on target lists

You can add notes to contacts on the target list for an event.

To add a note to a contact on a target list:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event in which to add a note to a contact or user on the target list.
    The event's information displays in the tabs in the details area.
  3. In the details area, select the Target List tab.
    The target list for the event displays.
  4. In the target list, click the Action button  for the contact you want to add a note for, then select Edit Note.
    The Edit Notes dialog opens.
  5. Enter the note for the contact, then click OK.
    The Edit Notes dialog opens.


The note is added to the contact on the target list. An icon displays in the Notes column for contacts that have an associated note.

Removing contacts from target lists

You can remove contacts from the target list for an event.

Removing contacts from a target list does not remove the contacts from the event, event legs, or event meetings.

To remove a contact from a target list:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event from which to remove a contact from the target list.
    The event's information displays in the tabs in the details area.
  3. In the details area, select the Target List tab.
    The target list for the event displays.
  4. In the target list, click the Action button  for the contact you want to remove, then select Delete.
    A confirmation dialog opens.
  5. Click Delete to remove the contact.
    The confirmation dialog closes.

The contact is removed from the target list for the event.

Info

Participants booked directly into meetings have the Attendees participant type and cannot be deleted. To delete an Attendee participants from the event, you must delete them from the meeting.
