Visualizing your sales pipeline

NexJ CRM visualizes your sales pipeline using dashboards.

Dashboards present summarized information about different subject areas within the application. Review dashboards to gain insight into key metrics and take proactive action. Review the pipeline dashboard to understand how your opportunities are progressing through various stages in their life cycle.

Opportunity dashboards

Opportunity dashboards present summarized information that gives you insight into key metrics and enables you to take proactive action.

Opportunity dashboards present a collection of charts. Each chart focuses on a different area of your sales pipeline and visualizes the information in a format that is suited to the subject matter. For example, the Pipeline by Product Type opportunity chart displays your product opportunities as a pie chart segmented by product type. Use this chart to identify how much of your pipeline each product type occupies.

Each chart contains a legend that indicates what information the chart displays. Interact with charts to reveal more details about the displayed information. Hover your mouse over a chart segment to display a tooltip that provides more detail about the information in the segment. Click a chart segment to navigate to a details page that lists the items that the segment visualizes. For example, click a segment in the Pipeline by Product Type chart to list the opportunities for the product type that the segment represents.

Info

When using Microsoft Internet Explorer 10 and higher, the Render legacy filters option must be enabled for your security zone to ensure that dashboard chart labels rotate correctly. When the option is disabled, graph labels are horizontal and the graph needs to be resized accordingly.

View the dashboards for your opportunities in the My Opportunities tab in the Home workspace. Depending on your permissions, the following dashboards are available:

Pipeline dashboard
The pipeline dashboard displays information about your opportunities and sales. All users can view the pipeline dashboard for their opportunities.

Management dashboard
The management dashboard is intended for users who want an overview of opportunities and sales across their organization. You must have the appropriate permissions to view the management dashboard.

The pipeline dashboard visualizes a user's opportunities and sales in NexJ CRM .

The dashboard contains the following charts:

Product Opportunity Pipeline

The Product Opportunity Pipeline chart provides a summary of how your product opportunities are progressing through the stages of the sales process. You can use this chart to gauge the overall health of your pipeline by measuring the volume of opportunities that you are managing, and by viewing how your opportunities are moving through the sales process.

Each colored band in the chart represents a stage of the sales process. The size of a band is relative to the sum of the expected revenue from all of your product opportunities currently in that stage.

You can hover your cursor over a band to see a tooltip containing the name of the stage and the total expected revenue for all of your product opportunities in that stage of the sales process. If you click a stage, you will navigate to a details page that lists all of your product opportunities currently in that stage.

Info

For an opportunity to be included in this chart, it must be open, meaning that an outcome is not specified in the Outcome field, and its Expected Revenue field must be completed.

Product Opportunity Timing and Probability

The Product Opportunity Timing and Probability chart displays the sum of expected revenue for your product opportunities based on their expected close date and probability of closing. You can use this chart to estimate the revenue that will be generated by your opportunities in each quarter.

The bar graph is divided into four fiscal quarters, where each colored band represents a different percent probability that the revenue from your product opportunities will be realized in that quarter.

You can hover your cursor over a band to see a tooltip containing the probability that the product opportunities will be won, and the total expected revenue for all of your product opportunities in that quarter. If you click a band, you will navigate to a details page that lists all of your product opportunities in the quarter that have the same probability of closing.

For an opportunity to be included in this chart, it must be open, meaning that an outcome is not specified in the Outcome field, and its Expected Close Date , Expected Revenue , and Probability fields must be completed.

Expected vs. Actual Revenue for Current Year

The Expected vs. Actual Revenue for Current Year chart displays the actual revenue generated by your product opportunities in relation to the expected revenue for the current year.

The gauge displays the total amount of expected revenue from all your pipeline product opportunities for the current year. The number on the right side of the gauge is the total expected revenue for the year. The needle on the gauge indicates the actual revenue of opportunities that have been won. As the expected revenue from your opportunities is realized as actual revenue, the needle will move toward the right side of the gauge. The number at the bottom of the gauge also indicates actual revenue.


Info

For an opportunity to be included in this chart as expected revenue, its Expected Amount field must contain a numeric value and the Expected Close field must specify a date in the current year. An opportunity is not included in the chart as expected revenue if the Outcome field is set to Lost or  Not Proceeded.

For an opportunity to be included in this chart as actual revenue, its Outcome field must be set to Won, its Expected Amount field must contain a numeric value, and the Expected Close field must specify a date in the current year.

Pipeline by Product Type

The Pipeline by Product Type chart visualizes the distribution of expected revenue across your product opportunities. You can use this chart to track what products are driving the greatest potential revenue, and what products are not selling as well as expected.

The pie chart displays colored segments which represent product types. The size of a segment is relative to the total expected revenue for all of your product opportunities of that type.

You can hover your cursor over a segment to see a tooltip containing the name of the product type and the total expected revenue for all product opportunities of that type in your sales pipeline. If you click a segment, you will navigate to a details page that lists all of your product opportunities for that product type.

Management dashboard

The management dashboard visualizes an organization's opportunities and sales in NexJ CRM .

It contains the following charts:

Revenue by Top 10 Users

The Revenue by Top 10 Users chart lists the 10 users who generated the most revenue in the current fiscal year, and displays the amount of revenue that each user realized. You can use this chart to determine how your team is performing based on the top users and the products that they have sold.

The chart is a bar graph in which each bar represents the total actual revenue generated by a single user. The bars are divided into colored bands that indicate the product type and how much revenue the user realized from that product type.

You can hover your cursor over a band to see a tooltip that contains the name of the product type and the total actual revenue that the user generated from that product type. If you click a band, you will navigate to a details page that lists all of the user's product opportunities for that product type.

For an opportunity to be included in this chart, it must be closed, meaning that an outcome has been specified in the Outcome field, and its Actual Amount field must be filled out.

Activities by Top 10 Users

The Activities by Top 10 Users chart lists the 10 users who generated the most revenue in the current fiscal year, and displays the volume of calls that each user made.

The chart is a bar graph in which each bar represents the total number of calls made by a single user. The bars are divided into colored bands that indicate the types of calls that were made.

You can hover your cursor over a band to see a tooltip that contains the call record type and the number of calls of that type that the user made. If you click a band, you will navigate to a details page that lists all of the user's call record activities of that type.

For an opportunity's activities to be included in this chart, the opportunity must be closed, meaning that an outcome has been specified in the Outcome field, and its Actual Amount field must be filled out.

Average of Sales Days by Stage

The Average of Sales Days by Stage chart displays the average number of days that product opportunities remain in a given stage before progressing to the next stage of the sales process. You can use this chart to gain insight into the efficiency of your sales life cycle, allowing you to make the appropriate changes to your best practices.

The chart is a bar graph in which each bar represents a stage of the sales process and the average number of days that your team's product opportunities remain in that stage before progressing to the next.

Average of Sales Days by Actual Close Quarter

The Average of Sales Days by Actual Close Quarter chart displays the average number of days that product opportunities take to progress from inception to close in each fiscal quarter.

The chart is a bar graph that is divided into four fiscal quarters, where each bar represents the average number of days that it took for your team to close their product opportunities in that quarter.

For an opportunity to be included in this chart, it must be open, meaning that an outcome has been specified in the Outcome field, and its Actual Close field must be filled out.

Closed-Won and Closed-Lost Opportunities

The Closed-Won and Closed-Lost Opportunities chart allows you to monitor the outcome of your team's product opportunities in a fiscal quarter. You can use this chart to visualize the value of the opportunities that are won and lost in each quarter, based on their expected revenue.

The chart is a bar graph divided into four fiscal quarters, where each bar represents the sum of expected revenue for the quarter, based on the number of closed product opportunities that were won or lost.

For an opportunity to be included in this chart, the outcome in its Outcome field must be set to Won or Lost, and its Expected Close , Expected Revenue , Actual Close , and Actual Amount fields must be filled out.

Reviewing your opportunity dashboards

Review your opportunity dashboards in NexJ CRM when you want to visualize the opportunities in your sales pipeline.

To view your dashboards:

  1. Navigate to the My Opportunities tab in Home workspace. The pipeline dashboard is displayed. If you have the appropriate permissions, the Pipeline and Management buttons are also displayed at the top of the dashboard area, allowing you to toggle between the pipeline and management dashboards.

    If a dashboard does not contain any information, ensure that you have the appropriate permissions to view your opportunities or the opportunities for your team, and that the opportunities are filled out correctly.

  2. To view more information about a segment in a dashboard chart, hover your cursor over the segment.
    A tooltip is displayed that provides you with additional details about the information that the segment represents.
  3. To view the opportunities that comprise a segment in a dashboard chart, click the segment.
    The details page for the segment is displayed. The area on the left of the page shows the segment in the context of your sales pipeline. The area on the right of the page lists the opportunities that comprise the segment.
  4. On the details page, you can do the following:
    • To view an opportunity in its own workspace, click its name in the list of opportunities. The Opportunities workspace opens with the opportunity selected.
    • To make changes to an opportunity, click the Edit button  on the right side of the opportunity. The Edit dialog opens.
    • To navigate back to your dashboard, click the Back button at the top of the area.

Adding product opportunities to pipeline dashboard charts

You can include a product opportunity in charts on the pipeline dashboard, provided that they meet criteria for the chart.

For example, a product opportunity is included in the Product Opportunity Pipeline chart if the opportunity contains an expected revenue value in the Expected Revenue field and the Outcome field is blank. For information on chart criteria, see the descriptions in Pipeline dashboard .

To add a product opportunity to a pipeline dashboard chart:

  1. Do one of the following:
    • Navigate to the Opportunities workspace. Find and select the product opportunity that you want add to the pipeline dashboard.
    • Navigate to the Contacts workspace. Find and select the contact associated with the opportunity you want to report on, then navigate to the Opportunities subtab in the Journal tab. Find and select the product opportunity that you want add to the pipeline dashboard.
  2. In the banner for the opportunity, next to the opportunity description, click the Edit button.
    The Edit dialog opens.
  3. In the Detail tab, in the Reporting field, select Pipeline.
  4. Click OK to save the opportunity.
    The Edit dialog closes.

The opportunity is included in charts on the pipeline dashboard if the opportunity meets reporting criteria for individual charts.
