Managing communication methods

Manage contact information that you use to communicate with a contact, such as phone numbers, email addresses, and personal web sites, in the Communications tab. For example, you can add home, mobile, and business phone numbers, personal email addresses, and LinkedIn and Twitter URLs for a contact.

You can also personalize the label for a communication method, specify a preferred communication method, and configure multiple email addresses for a contact.

Ensure that you create valid web site and email entries. For example, for a web site, include https:// in the URL address, such as https://linkedin.com/in/username.

Adding communication methods

Add a new method of communicating with a contact.

To add a communication method:

  1. Navigate to the Contacts workspace.
  2. Select the contact for whom to add a communication method.
    The selected contact's profile opens.
  3. In the Detail tab, in the Communications subtab, click the Add button and select the communication method to add.
    A dialog opens.
  4. Enter the phone number, email address, or URL you want to store, and click OK.

    Phone numbers display using the following international format: + countryCode nationalDestinationCode subscriberNumber. If you open the Add Telephone Number dialog, the Country field shows your preferred country by default. When you enter a phone number, the phone number will be validated for the country that you have selected. If the number is invalid, you will be prompted to either enter a valid phone number or select Unspecified in the Country field in order for your number to be accepted.

    The dialog closes.

The new communication method is added to the selected contact's record.

Editing communication methods

Edit a method of communicating with a contact.

To edit a communication method:

  1. Navigate to the Contacts workspace.
  2. Select the contact for whom to edit a communication method.
  3. In the Detail tab, in the Communications tab, click the Action button for the communication method to edit and select Edit.
    The Edit dialog opens.
  4. Edit the details as desired and click OK.
    The Edit dialog closes.

The communication details are updated.

Deleting communication methods

Delete a method of communicating with a contact that you no longer require.

To delete a communication method:

  1. Navigate to the Contacts workspace.
  2. Select the contact for whom to delete a communication method.
    The selected contact's profile opens.
  3. In the Detail tab, in the Communications tab, click the Action button for the communication method to delete and select Delete.
  4. In the confirmation dialog that opens, click Delete.

The communication method for the contact is deleted.

Changing communication method names

Edit a communication method name for a specific contact. Changes to a communication name apply only to the contact for which the change is made and only to the selected communication method. Changes do not apply to the communication method for other contacts or to new instances of the communication type. For example, if you change Mobile to Cell, the name change applies only to that name. Existing and new names are unaffected.

To change the communication method name:

  1. Navigate to the Contacts workspace.
  2. Select the contact for whom to edit a communication method name.
  3. In the Detail tab, in the Communications tab, click the Action button for a communication method and select Edit.
    The Edit dialog appears.
  4. Change the name for the communication method.
  5. Click OK.
    The Edit dialog closes.

The new name appears for the selected communication method.

Setting communication method defaults

Like addresses, if a contact has multiple entries for the same communication method, you can specify the default item to use for that method.

To set up default communication methods:

  1. Navigate to the Contacts workspace.
  2. Select the contact for whom to configure communication defaults.
    The selected contact's profile opens.
  3. In the Detail tab, in the Communications tab, click the User Preferences button .
    The Communications Defaults dialog opens, listing the available communication methods.
  4. For each applicable type, select the desired default item.

    When setting a default email address, you can also select the Send To checkbox for any of the contact's other email addresses. For more information on email configuration, see Configuring multiple email addresses for one contact.

  5. Click OK.

Setting the preferred communication method

Apply the preferred method label to one of the items in the contact's Communications tab to indicate the preferred means of reaching the contact. A preferred item appears in bold text with a green dot beside it.

To make a different item the preferred communication, click its Action button and select Set Preferred. You can also click the Action button and select Clear Preferred to clear the item of the preferred label.

Configuring multiple email addresses for one contact

Although many contacts have more than one email address listed in their profile, one default email address is used for sending email from NexJ CRM. In some cases, however, you may want to send an email message to more of the contact's addresses than the default address. For example, you may have a client who requests that all email communications be sent to their home email address, their work email address, and their lawyer's email address. Modify contact communications defaults in the Contacts workspace to configure supplemental email addresses to be used when emailing a contact.

To configure supplemental email addresses for automatic inclusion in email messages:

  1. Navigate to the Contacts workspace.
  2. Select the contact you want to configure supplemental email addresses for.
    The selected contact's profile opens.
  3. In the Detail tab, in the Communications tab, click the User Preferences button .
    The Communications Defaults dialog opens, listing the available communication types.
  4. Select the Send To checkbox for each supplemental email address that you want to send email to by default.
    You may specify a maximum of 25 email addresses. The contact's default email address (or primary address) is always used so it automatically has the Send To checkbox selected.
  5. Click OK.
    The Communications Defaults dialog closes.

The email addresses you enabled using the Send To checkbox are now included whenever you send any email messages to the selected contact.

Emailing contacts

Use NexJ CRM to email contacts. NexJ CRM opens your default email client to write and send emails.

The contact you want to email must have an email address entered in their profile's Communications tab.

To email a contact:

  1. Navigate to the Contacts workspace.
  2. Select the contact to email.
    The contact's profile displays.
  3. In the contact banner, click the Options button, then select Email.
    An email dialog opens in your default email client. The To field is filled out with the selected contact's email addresses.

You can now write and send the email.

You can also email a contact by clicking the Action button for the contact in the contacts list, then selecting Email.

Emailing leads

Use NexJ CRM to email leads. NexJ CRM opens your default email client to write and send emails.

The lead you want to email must have an email address entered in their profile's Communications tab.

To email a lead:

  1. Navigate to the Leads workspace.
  2. Click the Action button beside the lead that you want to send the email to, or right-click on the lead, and select Email.
    An email dialog opens in your default email client. The To field is filled out with the selected lead's email address.

You can now write and send the email.

Navigating to web sites

Use the Web Site communication type to store a URL for a contact. Once the URL is stored, you may access the website directly from the application by clicking the hyperlink.

Include http:// as part of the website URL.
