NexJ Customer Relationship Management basics

The NexJ CRM application window consists of a navigation toolbar above a main screen. NexJ CRM provides several workspaces including: Home, Contacts, Schedule, Document Manager, Document Distribution, Customize, and Events. These workspaces display information by category and allow you to perform a variety of specialized actions.

You can perform the bulk of your tasks from these workspaces. The first time you start NexJ CRM you will see the Home workspace, which is a condensed version of all of the information that is relevant to you (the default user). Each of the other workspaces focuses on a particular feature or function in the application. For example, the Contacts workspace allows you to view and manage your clients' profiles and the Schedule workspace displays your calendar, tasks, and scheduled events.

Help topics can be accessed by clicking the Options button in the navigation toolbar and selecting NexJ CRM Help.

Navigation toolbar

The workspace tabs in the navigation toolbar enable you to navigate between workspaces. Select a tab to navigate to that workspace.

The navigation toolbar also contains the following buttons:

Add

Click to select from the following menu:

  • Fund
    Adds a new fund. (This option is only available when Capital Markets functionality is enabled.)
  • Contact
    Adds a new contact.
  • Company
    Adds a new company.
  • Household
    Adds a new household.
  • Schedule Items
    Adds a new schedule item. Hover your cursor over to open a list of schedule item templates such as Conference, Event, and Phone call. Select a schedule item template.

    The last contact selected in the Contacts workspace displays in the For field.

  • Tasks
    Adds a new task. Hover your cursor over to open a list of task templates such as Follow Up and To Do.

    The last contact selected in the Contacts workspace displays in the For field.

  • Documents
    Adds a new document. Hover your cursor over to open a list of document templates such as Document and Note.

    The last contact selected in the Contacts workspace displays in the For field.

  • Service Requests
    Adds a new service request. Hover your cursor over to open a list of service request templates. Available templates depend on what your administrator has set up for you.

    The last contact selected in the Contacts workspace displays in the For field.

Start New Call
Opens the Inbound Call workspace where you can receive and begin inbound calls.

View Conversations/View Unread Conversations
Opens the Conversations sidebar and displays the number of current conversations that contain unread messages.

View All Notifications
Click to view all notifications. If there are any notifications in your notification stream, the button also shows the number of notifications, for example, .

You can click the down arrow beside the View All Notifications button  to view the ten most recent unread notifications.

Options
Click to select from the following menu commands:

  • View > Workspaces
    Opens workspaces. Select a workspace to either navigate to a docked workspace or to open a new workspace.
  • Batch Processes
    Opens the Batch Processes dialog where you can run batch process reports.
  • NexJ CRM Help
    Opens help topics for using NexJ CRM
  • About NexJ CRM
    Displays information about the version of NexJ CRM.
  • User Preferences
    Displays options for changing Document Manager, language, and region settings for NexJ CRM and for managing turned-off notifications. For more information, see Regionalization.
  • Locale
    Changes the language and region in NexJ CRM. For more information about language and region settings, see Regionalization.
  • Reset user interface
    Resizes all sections and column widths in lists to the default settings for the application.

Viewing more tabs

Depending on your screen size, you may not be able to see all of the tabs available in a workspace. If more tabs are available, a drop-down arrow appears to the right of the currently displayed tabs. Click the drop-down arrow to select a tab from the list of available tabs.

Action buttons and menus

Within certain areas of a workspace, related actions can be performed by clicking the Action button .

Clicking the Action button opens the action menu, which contains options related to the selected item or zone. You can use this menu to add items, modify items, or perform other tasks depending on where you are in the application.

Contact tooltips

NexJ CRM displays tooltips containing key information when you hover your cursor over contacts in lists in detail panes on workspaces. When Capital Markets functionality is enabled, the tooltips are also provided when you hover your cursor over fund and institution names on workspaces.

The following information provides examples of how you can use the entity tooltips.

If you hover over a participant's name in the Participants tab for an event, you can see their company name, address, phone number, and email address. You can click on the Edit hyperlink to modify their information or the Dock hyperlink to open their contact record as a workspace in the navigation toolbar.

When Capital Markets functionality is enabled, if you hover over the name for a fund on the Holdings workspace, you can see the hyperlinked name of the fund, the name of the parent company for the fund, and their address, phone numbers, and web site. You can click on the hyperlinked name to open the record for the fund on the Contacts workspace. You can also click on the Edit hyperlink to modify fund information or the Dock hyperlink to open the record for the fund as a workspace in the navigation toolbar.

When Capital Markets functionality is enabled, if you hover over the name for an institution on the Transactions workspace or Holdings workspace, you can see the hyperlinked name of the institution. You can click on the hyperlinked name to open the record for the institution on the Contacts workspace. You can also click on the Edit hyperlink to modify information or the Dock hyperlink to open the record for the institution as a workspace in the navigation toolbar.
