Starting and running a business process for opportunity approvals

A business process is a predefined form and a series of approval steps that you use in NexJ CRM to record and update information about your contacts, companies, opportunities, and service requests. Start and run a business process for an opportunity when you want to record or update information in the profile for an opportunity using a defined series of questions and an approval workflow. For example, you may need to start and run a business process when the expected revenue for a product opportunity meets or exceeds $1 million.

Your business administrator configures the approval processes, approval steps, and associated actions for opportunities. Your business administrator also designates users as approvers.

All users with access to an opportunity can request approval for a change to that opportunity.

To request approval for a change to an opportunity:

  1. Navigate to the Opportunities workspace. Find and select the required opportunity.
  2. In the Business Processes tab, click the Add button and select the required approval business process.
    The Add Business Process dialog opens.
  3. Follow the procedures described in Starting business processes and Filling out business process forms.
  4. A confirmation dialog opens, asking you to confirm that you want to submit the form for review. Click OK to confirm.

The opportunity is locked while it is waiting for approval. You can add activities to a locked opportunity but cannot edit other opportunity properties. The approval steps are assigned to the appropriate approvers and notifications are sent to the approvers. Next, approvers approve or reject the request.

If notification actions have been configured for the business process template, you will receive a notification when your request is approved or rejected.
