View an event to see more information about the event and to review the event's schedule.

Viewing a calendar of all events

View the events calendar to see an overview of completed, planned, and prospective events. The calendar displays the event schedules and provides details for each event.

To view a calendar of all events:

  1. In the Events workspace, select the Calendar tab.
    The calendar displays all events that you have permission to view.
  2. In the events calendar you can do the following:
    • To filter the displayed events, click the Set Filter button in the All Events filter field and select a filter.

      The Set Filter menu contains your favorite saved filters. In the Set Filter menu, you can also specify which saved filters display in the menu, change the order of filters, choose from all available saved filters, and create a new filter. You can modify the currently selected filter by clicking the Edit button in the filter field. The Upcoming 7 Days, Upcoming 30 Days, and Upcoming 90 Days filters also include the current date's events in the search results.

    • To search for events by sector or industry, ticker, event type, or title, use the remaining search fields above the calendar and click the Find button. The events calendar refreshes to display only the events that meet the filter and search criteria.
    • To search for events using advanced filter search criteria:
      1. Click the Show Filter button. Advanced filter search criteria display.
      2. In the advanced filter search fields, specify desired filter criteria and click Run .
        As you enter your search criteria, it displays as read-only text in the Filtered by field.
    • To clear the search criteria for the event list, click Clear . To hide the expanded filter criteria, click the Hide Filter button .
    • To navigate between weeks, months, and years, use the date navigator on the left side of the calendar.
    • To narrow the displayed date range, click Today , Week , or Month at the top-right of the calendar.
    • To switch between displaying events and event legs, click Events or Legs at the top-right of the calendar.
    • To view details and notes for an event, hover your cursor over the event in the calendar.

Viewing the calendar for an event

View the calendar for a single event to see an overview of the event's legs and meetings. In the calendar, you can change the displayed date range, choose which legs to display, and add, edit, and delete meetings.

To view an event's calendar:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event to view the calendar for.

    You can also open an event's calendar from the Calendar tab. Hover your cursor over the event in the calendar, and in the tooltip that displays, click Go to Event .


    The event's information displays in the event banner and in the tabs below the banner.

  3. Select the Calendar subtab. In the event calendar, you can do the following:
    • To navigate between days and weeks, use the left and right arrows at the top-left of the calendar.
    • To change the displayed date range:
      • To change the displayed date to a single day, the workweek, or a seven-day week, click Selected Day(s) , Workweek , or Week at the top-right of the calendar. Clicking Selected Day(s) changes the display date to a single day.
      • To show all days in the event or only days that have meetings, click the arrow  beside Selected Day(s). Select Event Day(s) Only to show all days or Meeting Day(s) Only to show only days that have meetings.
    • To show or hide an event leg, click on a leg at the top of the calendar.
    • To show meeting information for the current user, click the Calendar Settings button and select one of the following:
      Show My Meetings

      Select to show meetings in which the current user has sales coverage for an attendee in the meeting.
      Show My Requested Meetings
      Select to show meetings in which the current user has open requests for adding attendees to the meeting.
    • To change the time scale for the calendar, click the Calendar Settings button , and select a time value. By default, the calendar uses a time scale of 30 minutes.
    • To show a legend of icons that indicate a meeting's status, click Legend . The legend displays the following icons:
      Open
      The meeting is available for booking.
      Open with Requests
      The meeting is available for booking but has outstanding meeting requests.
      Confirmed
      The meeting is closed and no longer available for booking.
      Cancelled
      The meeting is cancelled and no longer available for booking.
      Locked
      The meeting is locked and no longer available for booking.
    • To add meetings to a leg, click the Add Schedule Item button and choose whether to create a single event meeting or itinerary item, or multiple event meetings. Specify details in the dialog that opens.
    • To apply a meeting availability template to a leg, click Apply Availability Template and select a leg. In the dialog that opens, select a template and define the date range for the template.
    • To view details and notes for a leg or meeting, hover your cursor over the item in the calendar.

Viewing the calendar for an event leg

View the calendar for a leg in an event to see an overview of the leg's meetings. In the calendar, you can change the displayed date range and add, edit, and delete meetings.

To view an event leg's calendar:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event to view the calendar for a leg.

    You can also select an event to view the calendar for a leg from the Calendar tab. Hover your cursor over the event in the calendar and, in the tooltip that displays, click Go to Event .

  3. Select the Legs tab.
    The leg list and details areas display.
  4. In the leg list, select the leg to view the calendar for, then select the Calendar tab. In the leg calendar you can do the following:
    • To navigate between days and weeks, use the left and right arrows at the top-left of the calendar.
    • To change the displayed date range:
      • To change the displayed date to a single day, the workweek, or a seven-day week, click Selected Day(s) , Workweek , or Week at the top-right of the calendar. Clicking Selected Day(s) changes the display date to a single day.

Info

If your event has multiple legs, you can also filter the main calendar to display only the meetings and itinerary items for one specific leg by going to the Calendar tab in the detail pane and selecting the checkbox beside the name of that event leg.

Applying availability templates to event legs

Viewing details for events

View details for an event to see specific information about the event. You can view an event's overview, expense code, team, and countries of origin.

To view an event's details:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. [Optional] You can select from the available filters to search for events or click on the Show Filter button  to filter using advanced search criteria. To run the filter, click Run .
    As you enter your search criteria, it displays as read-only text in the Filtered by field.
  3. In the event list, select the event to view details for and select the Details tab.
    The event's information displays in the event banner and in the tabs below the banner.
  4. To edit the overview or expense code:
    1. Select the Edit tab.
    2. Click the Edit button  for the property to edit.
    3. In the Edit dialog that opens, make changes and click OK .
  5. To add, edit, or remove team members:
    1. In the Team tab, click the Add button  and choose User or Coverage Group .
    2. In the Select dialog that opens, make changes to the team and click OK .
  6. To modify the countries of origin:
    1. In the Countries of Origin tab, click the Add button .
    2. In the Select dialog that opens, add a country by selecting it in the left column and clicking Add .
    3. Remove a country by selecting it in the right column and clicking Remove.
    4. Click OK when you are done.
  7. To add a note to the event:
    1. Select the Notes tab.
      The list of notes for the event displays in chronological order.
    2. Enter the note in the field, then click Save .
      The note is added to the list. A timestamp indicates who added the note and when it was added. The note is also added as an event note in the Documents tab. You can edit, dock, or delete notes using the links on the left side.
  8. To add a document to the event:
    1. Select the Documents tab.
      The list of documents for the event displays in chronological order.
    2. Click Add and select a document type, either Event Feedback or Event Note .
      The Edit dialog opens.
    3. Specify the details for the feedback or note in the Detail , Related , Attachment , and Security tabs, then click OK .

      Info

      The Security tab is not available when the Hierarchical Access Model is enabled.


      The document is added to the list. A timestamp indicates who added the document and when it was added. If you added an event note, the note is also added in the Notes tab.

      You can edit, dock, or delete documents using the links on the left side.

Editing events

Viewing details for event legs

View details for a leg in an event to see specific information about the leg. You can view an event leg's overview, country, state or province, city, global region, domestic region, and countries of origin.

To view an event leg's details:

  1. In the Events workspace, select the Event List tab.
    The event list and details areas display.
  2. In the event list, select the event to view details for a leg, then select the Legs tab.
    The leg list and details areas display.
  3. In the leg list, select the leg to view details for, then select the Details tab. In the Details tab, you can do the following:
    • To edit the overview, click the Edit button .
    • To modify the countries of origin, in the Countries of Origin tab, click the Add button  . In the Select dialog that opens, add a country by selecting it in the left column and clicking Add . Remove a country by selecting it in the right column and clicking Remove . Click OK when you are done.
